1.The Service
The Service reads receipts and purchase invoices that you upload (for example as a phone photo, a PDF file or a document forwarded to a company’s receipt inbox address), extracts their data using automated tools, including artificial intelligence, runs validation checks and lets you send the resulting purchase invoices to accounting software such as Merit Aktiva or SimplBooks.
Accounting software is provided by third parties under their own terms. You connect it with your own API credentials. We are not responsible for the availability of third-party software or for changes in their interfaces, but we try to keep the integrations working.
2.Accounts and organizations
To use the Service you need a user account. You must provide accurate information, keep your login details confidential and tell us without delay if you suspect unauthorized use. You are responsible for activity carried out through your account.
- Documents are kept in organizations (client companies). The user who creates an organization is by default its administrator and billing owner.
- Administrators can invite other users to an organization and remove them. Each organization’s documents, settings and integrations are kept separate from other organizations.
- You confirm that you have the right to upload the documents of each organization you work in and to give your team members access to them.
3.Credits, prices and payment
The Service is paid for with prepaid credits. One credit is used for one successfully read document; a multi-page document counts as one document.
- Credits are bought by a user and held in that user’s wallet. Every document scanned in an organization is paid from the wallet of that organization’s billing owner, regardless of which team member uploaded it.
- Prices are shown on the pricing page in euros and exclude VAT. Estonian VAT (currently 24%) is added at checkout, and we issue an invoice for every purchase.
- Payments are processed by Maksekeskus AS by bank link or card. Credits are added to the wallet once the payment has been confirmed.
- Credits do not expire and have no cash value. Free credits granted at sign-up or in a promotion can be used only within the Service.
- No credit is used when a document cannot be read (a failed scan) or when the same file is uploaded again to the same organization; in that case the upload points to the existing document. A document with the same seller, invoice number and amount as an earlier one is read and charged normally and flagged as a possible duplicate for your review.
Purchased credits are not refunded, except where a refund is required by mandatory law and in the case of an incorrect or duplicate payment. This does not limit any rights you have under statutory law that cannot be excluded by agreement. We may change prices for future purchases; credits already bought remain valid.
4.Your responsibility for the results
Data is extracted automatically and may contain errors, for example when a document is unclear, damaged or unusual. Validation checks reduce errors but cannot eliminate them.
You must review the extracted data before booking it or sending it to your accounting software. If you turn on automatic sync, documents that pass the checks are sent without manual review at your own choice and responsibility.
The Service is a tool that assists with data entry. It is not accounting, tax or legal advice, and you remain responsible for your bookkeeping, tax returns and compliance with the law.
5.Your content and data
You keep all rights to the documents and data you upload. You allow us to store and process them only to the extent needed to provide, secure and support the Service.
With regard to personal data contained in the documents, we act as a processor on your behalf, and you are responsible for having a legal basis to process that data. How we handle personal data is described in our Privacy Policy.
6.Acceptable use
You must not:
- upload unlawful content or documents you are not authorized to process;
- attempt to bypass security measures, access controls, usage limits or billing;
- disrupt or overload the Service, or access it by automated means other than the features we provide;
- copy, reverse engineer or resell the Service without our written consent;
- upload malware or use the Service in a way that harms us, other customers or third parties.
We may suspend access to the Service if we have reasonable grounds to believe that these rules have been breached. Where possible, we will notify you in advance and give you an opportunity to remedy the breach.
7.Availability and liability
We aim to keep the Service available and working correctly, but we do not guarantee uninterrupted or error-free operation. The Service may be temporarily unavailable due to maintenance, updates or causes beyond our control. We may change and develop the Service’s features.
To the extent permitted by law, we are not liable for indirect or consequential damage, such as lost profit, lost data, or fines and tax consequences arising from data that was not reviewed. Our total liability arising from or in connection with the Service is limited to the fees you paid us for the Service during the 12 months before the event giving rise to the claim.
These limitations do not apply to damage caused intentionally or through gross negligence, or where liability cannot be limited under applicable law.
8.Term and termination
The agreement is concluded for an indefinite term. You may stop using the Service at any time and ask us to delete your account.
We may terminate the agreement by giving 30 days’ notice by email. We may terminate it without notice if you materially breach these Terms. If we terminate the agreement for a reason other than your breach, we refund the value of your unused purchased credits.
Before the account is closed, you can export your data. After termination, data is deleted as described in the Privacy Policy, except for data we must retain by law.
9.Changes to these Terms
We may change these Terms, for example when the Service or the law changes. We will notify you of material changes by email or in the Service at least 30 days before they take effect. If you do not agree with the changes, you may terminate the agreement before they take effect. If you continue to use the Service after that date, you are deemed to have accepted the amended Terms.
10.Governing law and disputes
These Terms are governed by the laws of the Republic of Estonia. We will first try to resolve disputes by negotiation. If no agreement is reached, the dispute will be settled in Harju County Court (Harju Maakohus) as the court of first instance.
These Terms are available in Estonian and English. In case of any discrepancy, the Estonian version prevails.
